Payment Options

Clients are billed for treatment provided based on our hourly rate. Billing is completed on a monthly basis. At the beginning of each month an invoice will be made for services provided in the previous month. This invoice will generally be mailed to you.

Clients with Extended Health Benefit Coverage:

If you have extended health benefit coverage it is recommended that you review the specific details of your policy. Some plans have yearly maximums, and others will pay a maximum amount per visit. It is also recommended that you also find out the process for making a claim. Some policies require that the invoice be paid first before they reimburse you and a few companies require a doctor’s referral.

An invoice will be mailed to you at the end of each month for the services provided during that month.  Please send payment to our office at the address on the invoice. If you would like to pay by Visa please call our office. If you require a receipt please indicate this with your payment. You can then submit your invoice and any required claim forms to your extended health provider for reimbursement.

Self Pay Clients:

Please send payment to our office or call to pay by Visa on receipt of our invoice. You may be able to claim your therapy expenses on your income tax. Please consult with your accountant or Revenue Canada regarding your eligibility. If claiming on you income tax Revenue Canada requires receipts so please request one when making your payment.

Motor Vehicle Accident Clients:

If your injuries are the result of a motor vehicle accident, your auto insurance plan may fund your therapy costs. In this case, Pathways Therapy will need to obtain funding approval from the insurer prior to initiating treatment. Pathways Therapy will then bill the auto insurer directly. If you have extended health benefit coverage for therapy you are required to use that first prior to accessing your auto insurance.  Please let us know and we will provide you with a bill to submit to your extended health benefit provider.

We also see clients who have funding through the workplace safety and insurance board.

Our Cancellation Policy:

Due our therapist’s busy schedules, we would appreciate as much notice as possible if you need to cancel or reschedule an appointment.

If appointments are cancelled with less than 24 hours notice a cancellation fee of $25.00 will be charged. If appointments are cancelled with less than 3 hours notice, the full visit fee will be charged.

In the event that you miss or are unavailable for a scheduled appointment, the full fee for the session will be charged.

Please note that insurance plans will often not pay cancellation fees. The client is responsible for paying the cancellation / missed appointment charge.
